# Meeting Minutes Template

**Businessman Talk · businessmantalk.com/strategy/meeting-agenda-template/ · v1.0 (September 2026)**

Paste into Google Docs, Word, or Notion. Minutes record what was decided, who is doing what by when, and what stayed open. They do not record who said what. Fill them in during the meeting, read the actions back in the last five minutes, and send them within one working day. The example is filled in for a made-up eight-person landscaping firm; replace it with your own.

## 1. Decisions

One line per decision. The decision, not the discussion. If an item produced no decision, say so and name who decides by when.

| # | Agenda item | Decision | Decided by |
|---|---|---|---|
| 1 | Raise mowing and bed-maintenance prices 6% from 1 March, or hold | Raise 6% on both from 1 March. Existing annual contracts move at renewal, not now. | Owner |
| 2 | Third crew for spring, or Saturday hours | No third crew before April. Add Saturday hours to both crews for March; review at the 6 April meeting against the backlog. | Owner, on crew lead A's recommendation |
| 3 | Decline out-of-area backlog quotes | Decline the 5 quotes more than 25 miles out. Keep the other 9. | Office manager |

## 2. Actions

Every action has one owner and one date. An action with two owners has none.

| # | Action | Owner | Due | Done |
|---|---|---|---|---|
| A1 | Update the price list and the quote template to the new rates | Office manager | 13 / 09 / 2026 | ☐ |
| A2 | Email the 11 annual-contract clients: new rate applies at renewal | Owner | 16 / 09 / 2026 | ☐ |
| A3 | Ask both crews who can work Saturdays in March and report back | Crew lead A | 12 / 09 / 2026 | ☐ |
| A4 | Decline the 5 out-of-area quotes with a one-line reply | Office manager | 10 / 09 / 2026 | ☐ |
| A5 | Bring March Saturday hours and backlog to the 6 April meeting | Office manager | 06 / 04 / 2026 | ☐ |

## 3. Open questions

Things raised that were not decided, with who owns the answer and when it is due back.

| # | Question | Owner | Due back |
|---|---|---|---|
| Q1 | Does the 6% rise apply to the two commercial accounts on fixed three-year terms? | Bookkeeper | 16 / 09 / 2026 |
| Q2 | If Saturday hours are not enough, what is the earliest a third crew could start? | Crew lead B | 06 / 04 / 2026 |

## 4. Next meeting

**Date:** 06 / 04 / 2026 **Purpose:** Review March Saturday hours and the backlog; decide on the third crew.

**Minutes sent to:** All present, plus crew lead B's deputy **Sent on:** 09 / 09 / 2026

### Filling notes (delete after use)

- Write decisions as the outcome, in the present tense: "Raise 6% from 1 March", not "It was agreed after some discussion that…".
- Do not record who argued for what. Attribution turns minutes into a transcript, and a transcript is never read.
- An action is a verb, a name, and a date. "Look into Saturday hours" is not an action until it has a person and a due date.
- Open questions are not failures. They are the list the next agenda is built from.
- Read the actions aloud in the last five minutes of the meeting. Every correction made then saves an email later.
